Historical Note

CUMREC, or "College and University Machine Records Conference," was started in 1956 by Frank B. Martin, director of Data Processing at Michigan State University. The intent of this first conference was to provide an opportunity for professionals in higher education to share their knowledge of and experiences with computerized systems.

Since this initial conference, CUMREC is hosted by a different participating institution. In 1972 the conference was formally organized and in 1992 the conference name was changed to the College and University Computer Users Association, though retains the CUMREC acronym. In 1998, CUMREC affiliated with CAUSE (now EDUCAUSE) with the intent of taking the organization to a wider audience.

Those individuals and institutions involved with CUMREC represent computer clients from all areas of higher education administration and information technology.

The CUMREC conference is presently titled the Higher Education Administrative Technology Conference. Under any name, the conference is the longest continuously running conference dedicated to promoting the understanding and use of information technology in higher education.

As an organization of volunteers, members of the Board of Directors are elected by the membership to three-year terms. Every member has the opportunity, and is greatly encouraged, to participate by volunteering for committees, as well as mentioning and moderating.

In a tribute to CUMREC's founding father, the Frank Martin Service Award was established in 1972 to honor exemplary service to the College and University Information Technology community.

Scope and Contents note

CUMREC records consists of historical displays for 1956-1971, financial information, a flag, slides, pins and badges, newsletters, policies, and members.

The electronic resource consists of a documentary style video called "The Celebration of an Idea, the Realization of a Dream" commemorating the 50th anniversary of CUMREC. The video gives a historical account of administrative computing, Frank Martin, and past conferences.

Arrangement note

Series Description

(1) Board Materials. 9.0 cu. ft.

Materials in this series reflect the work of the volunteer, elected CUMREC board members. This material, as all material in the collection was preserved by Harris D. Olson, CUMREC historian. Gaps in materials may not reflect gaps in board activity, just materials collection. Types of materials include records of CUMREC, member and board activities, board agendas, and meeting minutes, organizational by-laws, organizational charts, financial planning, conference programming and site selection, and Frank Martin Service Award materials. Arranged chronologically then alphabetically by folder title.

(2) Secretary’s Materials. 1.5 cu. ft.

Largely the notebooks of materials maintained by CUMREC secretaries over the years. Materials have been removed from original notebooks for preservation purposes but the original order of materials in notebooks as they came to MSUAHC has been maintained. Materials found in notebooks and other secretary’s materials reflect information located in Board Materials. Information series provides a consistent record of organizational activity. Arranged chronologically.

(3) Conference Records. 1.3 cu. ft.

Materials in this series are further developed into nine self-explanatory subseries. They involve planning, preparation and production of all CUMREC conferences noted in series datespan. The subseries include: conference attendance lists, conference materials, conference planning, conference proceedings, conference programs, conference registration packets, conference session papers, conference speaker papers. Arranged chronologically then alphabetically by folder title.

(4) CUMREC Attendee Lists. 3 folders.

Collections of lists of conference attendees. Partial lists can be found scattered throughout other series, most notably in board materials, secretary’s materials and the conference attendance list subseries of the conference records series. Arranged chronologically.

(5) Directories. 1.5 cu. ft.

Directories of CUMREC members and conference representatives. Arranged chronologically.

(6) Frank Martin Service Award. 4 folders.

Materials pertaining to the creation and administration of the Frank Martin Service Award. Information can be found of the history of award and award winners, presentation ceremony, criteria in selection process, biographies of Frank Martin and Frank Martin Service Award winners. Arranged chronologically.

(7) Miscellaneous. 4 folders.

General information on the organization and its work. An artificially created series - the archivist has used it to locate stray and unorganized materials found in accessioned material. Arranged chronologically then alphabetically from folder title.

(8) Newsletters. 1.25 cu. ft.

Newsletters of the organization. This is not a complete run. Arranged chronologically.

(9) Vouchers. .25 cu. ft.

Travel voucher and other CUMREC - organizational related expense account materials. These items are partially restricted to use of members and of the archivists discretion. Arranged chronologically.

(10) Restricted Files

Financial records and other materials considered confidential by University policy.

(11) AV/Ephemera. 2 cu. ft.

Miscellaneous materials including photographs, envelopes, stationary, plaques, awards and organizational promotional materials distributed at conferences.
